About the Role
The Manager, Systems Training oversees the development and delivery of Mindpath Health’s curriculum to employees, with focus on end users of our Electronic Medical Records system, Practice Management system, and all frequently used systems across the enterprise. The incumbent will partner closely with Business Leaders and Instructional Design resources to ensure that the learning objectives for each training are well defined and that the medium and delivery of training curriculum is optimized. End users will include clinical and non-clinical new hires, existing employees, and individuals joining through acquired groups.

Responsibilities: 

Team Leadership

  • Day to day oversight of EHR Trainers, including performance management, development, retention, and hiring.
  • Partner with Director, Enterprise Training on team growth based on growing needs of the organization
  • Evaluate and report on training program’s effectiveness, success, and return on investment to ensure that training is meeting business needs and improving performance.

Needs Assessment & Program Development

  • Conduct Training Needs Assessment for all submitted training requests to understand level of need, determine timing, allocate necessary training resources, identify subject matter experts, and identify delivery method.
  • Collaborate and work in partnership with clinical and administrative staff, as well as senior leadership to ensure a high level of patient care, quality, and compliance is upheld
  • Understand the needs of the end users to improve workflows and anticipate process improvements
  • Develop and/or maintain training and development resources that will ensure sustainable learning including: training manuals, e-learning, other training programs and materials
  • Oversee the development and delivery of training with both internal employees and external vendors
  • Review and report on course evaluations while working with Systems Training Team to make the change recommendations based on feedback received
  • Ensure all training templates, manuals and job aids are standardized and updated on a routine basis.

Training Delivery

  • Ensure the seamless coordination of logistics of all systems training activities
  • Complete oversight in the successful delivery of trainings in all formats: classroom, virtual, on-the-job, synchronous, asynchronous, etc.
  • Lead the design and roll-out of training support systems to meet the needs of a high growth organization (Preceptor Programs, Train-the-Trainer Programs, etc.)

Process and Technology

  • Oversee the design and development of instructional materials in a variety of learning formats ensuring that learning technologies are leveraged where possible including periodic reviews with EMR Trainers and stakeholders and getting final approval from Director, Enterprise Training
  • Assist with the support issues that are received through the help desk ticketing system, including mitigating escalations
  • Gather and analyze helpdesk ticket data to identify gaps in training
  • Partner with IT to implement and upgrade EMR solutions, including design, configuration, training, and rollout
  • Subject Matter Expert in design and training deployment of new application functionality and continuously on-going enhancement
  • Lead the documenting and implementing of EMR system-associated process changes

Project Management

  • Create, update, and share project plans with internal team and leadership to align on timelines and end user impact
  • Supervise training project to ensure they are completed within the required timeframe and project scope
  • Maintain and update master project list to ensure resources allocated appropriately

Qualifications: 

  • Bachelor (4 year) degree, or equivalent applicable experience
  • Working knowledge of Electronic Health Records and Practice Management Systems
  • 5+ years of experience in the health care industry
  • 5+ years of experience in adult training environments
  • Exceptional written and verbal communication skills; ability to communicate effectively and work collaboratively across mediums and with diverse audiences
  • Minimum of 5+ years’ experience directly managing a team. Hybrid team management experience a plus.
  • A proven track record of continuous process improvement; positive leadership; strong planning, collaboration, teamwork skills; and connecting solutions to business outcomes
  • Conducting needs analysis, leading current/future state road mapping
  • Comprehensive knowledge of learning and development principles including familiarity with instructional design, technology-based learning, adult learning theory, skill development, change management, and process design
  • Effectively managing change and shifting gears comfortably; highly effective in ambiguous environments and able to produce maximum results with little direction and guidance
  • Anticipating bottlenecks, providing escalation management, anticipating, and making trade-offs, and balancing competing constraints
  • Relationship builder who can influence across all levels, functions, and cultures
  • Client-service oriented with strong critical thinking and conflict resolution skills
